What the embassy and the portal both expect
The 2026 guidelines and official FAQ describe the same core file set. You show these documents to the Indonesian Representative first, then upload them after the recommendation is issued. Language: English or Bahasa (original or official translation). Format on the portal: .jpeg / .jpg, maximum 300 KB per file.
A statement of graduation or judicium letter cannot replace transcripts and certificates. Academic records must already exist and must be legalized by the Ministry of Education and the Ministry of Foreign Affairs of your country.
Typical required documents
Curriculum vitae
English or Bahasa. Keep dates consistent with the passport and academic certificates the embassy will compare.
Official passport scan
Ordinary passport only — not diplomatic or work. In 2026, validity had to run at least to 31 December 2027. The FAQ also states at least two years of remaining validity. Name on the application must match the passport exactly.
English proficiency test
Required if you are from a non-English-speaking country, unless your prior diploma/transcript shows an English-medium programme (attach official proof). See the eligibility page for 2026 score floors. Duolingo or equivalent tests that assess writing, listening, and speaking are acceptable under the official FAQ.
Employer / immediate supervisor recommendation
English or Bahasa. If you are not employed, upload a statement that you are not working and are free to accept KNB if selected.
Academic recommendation
Mandatory. The official FAQ says it must be signed by the head of your previous educational institution, in English or Bahasa.
Legalized certificate and transcript
High school (bachelor track), bachelor’s (master track), or master’s (doctoral track). Legalized by your Ministry of Education and Ministry of Foreign Affairs. English or Bahasa.
Medical report
Certified report in English or Bahasa, issued within the last three months in the 2026 rules: physical examination; infectious-disease tests (tuberculosis, syphilis, HIV/AIDS, Ebola, Mpox); mental-health test; negative drug screen (amphetamine, methamphetamine, marijuana, morphine, benzodiazepines). Africa applicants also attach yellow-fever vaccination proof.
Embassy / Consulate General recommendation
Mandatory first verification step. Same calendar year as the selection. Country of origin, not domicile. Honorary consuls cannot issue it. Dedicated walkthrough: embassy recommendation.
Doctoral extras
Recommendation from a potential research supervisor at the same KNB partner university you choose, plus a statement of purpose covering purpose of study, interest in Indonesia and the topic, and academic plans (dissertation proposal), in English or Bahasa.
Application video
Maximum five minutes, English or Bahasa, uploaded to YouTube; paste the link in your KNB account. Cover your profile, why Indonesia and KNB, and why that campus and programme.
Compress before you upload
The official FAQ warns that oversized files cause technical problems when connections are weak. Convert PDFs to JPEG if needed, keep each file at or under 300 KB, and review every scan before you close the single allowed account.
