& Recommendation Letters

Who to ask, how to ask, what makes a strong letter in the Japanese academic context, and the timeline you need to follow so your recommenders are not writing the night before the deadline.

MEXT Reference Letters

Most MEXT applications require 2 recommendation letters from academic supervisors. Give referees at least 4 weeks notice. Letters should be specific, not generic.

Strong vs Weak References

"In my 20 years of teaching, [Name] ranks among the top 5% of students I have supervised. Their thesis on [specific topic] demonstrated exceptional analytical skills and independent thinking. They presented findings at [conference] and received positive feedback from [expert]."

Specific, quantified, evidence-based, from someone who knows you well.

"[Name] is a good student who works hard and is interested in studying abroad. I recommend them for the MEXT scholarship."

Generic, could be about anyone, no specific evidence or achievements.

Reference Timeline

6 Weeks Before

Identify 2–3 referees. Choose people who know your work well, not just famous names.

4 Weeks Before

Ask formally. Provide your CV, research plan, and the MEXT recommendation form.

1 Week Before

Polite reminder. Offer to help with any details they need.

References Sorted? Time for the Research Plan.

Your recommendation letters should align with your research plan. Make sure both tell the same story about who you are and what you want to achieve in Japan.
